Equipment Hire
These terms apply to all equipment hire arrangements with Donsole Ltd (we, us). By confirming a booking you agree to be bound by these terms. Please read them before confirming.
Equipment means the audio, lighting, and production equipment hired to you under a confirmed booking.
Hire period means the period from the date equipment leaves our warehouse (or is delivered to you) to the date it is returned to our warehouse (or collected from you).
You / the Hirer means the person or organisation that has confirmed the booking.
2.1 An enquiry does not constitute a booking. A booking is confirmed only when Donsole Ltd issues a written confirmation and any required deposit is received.
2.2 Equipment is reserved for your booking from the date of confirmation. We cannot guarantee availability of specific items until confirmation.
2.3 By confirming a booking you confirm that you have read and agree to these terms.
2.4 Donsole Ltd reserves the right to decline any booking at our discretion.
3.1 All prices are exclusive of VAT unless otherwise stated. VAT at the current rate will be added to your invoice.
3.2 For bookings over £500, a deposit of 25% of the total hire value is required at confirmation. The balance is due no later than 7 days before the hire period begins.
3.3 For bookings under £500, full payment is due at confirmation unless otherwise agreed.
3.4 Late payment may result in the booking being cancelled and the deposit being forfeited.
3.5 We accept bank transfer and card payment. Details will be provided on your invoice.
4.1 Cancellations must be notified to us in writing by email to hello@donsole.co.uk.
4.2 The following cancellation charges apply:
4.3 If we cancel a confirmed booking for reasons within our control, we will refund all amounts paid. Our liability is limited to that refund — we are not liable for consequential losses.
4.4 We are not liable for cancellation caused by circumstances outside our reasonable control (force majeure), including severe weather, civil unrest, or supplier failure.
5.1 Where we provide delivery and collection, times and locations will be confirmed in writing. Someone authorised to sign for the equipment must be present.
5.2 Where you collect and return equipment, times must be agreed in advance. Equipment not returned by the agreed time may incur additional hire charges at the daily rate.
5.3 Risk in the equipment passes to you on collection or delivery and returns to us on return or collection by us.
5.4 You must inspect equipment on receipt and notify us of any damage or missing items within 2 hours. Failure to do so may make you liable for pre-existing issues.
6.1 You are responsible for the safe keeping of all equipment during the hire period.
6.2 Equipment must only be used for its intended purpose and by competent persons.
6.3 You must not sub-hire, lend, or transfer equipment to any third party without our prior written consent.
6.4 You must not attempt to repair, modify, or tamper with any equipment. Faults must be reported to us immediately.
6.5 Equipment must be stored securely when not in use and protected from weather, theft, and damage.
6.6 You must comply with all applicable laws and regulations in your use of the equipment, including noise regulations, electrical safety, and venue requirements.
7.1 You are liable for any damage to, loss of, or theft of equipment during the hire period, fair wear and tear excepted.
7.2 Damage must be reported to us as soon as it is discovered. Attempting to conceal damage may result in additional charges.
7.3 The cost of repair or replacement will be assessed by us and invoiced to you. Replacement cost is based on current market replacement value.
7.4 If equipment is stolen, you must provide a crime reference number. You remain liable for the replacement cost.
7.5 A security deposit may be required for certain bookings, returned within 14 days of satisfactory return of equipment.
8.1 All our owned equipment is PAT tested annually and maintained to a professional standard.
8.2 Where equipment is supplied through our Community Hire programme, it is owned by independent partners who are responsible for PAT testing. We take reasonable steps to verify compliance but cannot guarantee PAT status of community-supplied items at all times.
8.3 We make no warranty that equipment is suitable for any specific purpose beyond its intended use. You are responsible for ensuring equipment meets your technical requirements.
9.1 Our total liability for any claim arising from a hire booking is limited to the total hire value of that booking.
9.2 We are not liable for any indirect, consequential, or special losses, including loss of revenue, loss of profit, or reputational damage.
9.3 Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for fraudulent misrepresentation, or for any other liability that cannot be limited by law.
10.1 These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
10.2 We may update these terms from time to time. The terms applicable to your booking are those in force at the date of booking confirmation.
10.3 If any provision is found unenforceable, the remaining provisions continue in full force.
10.4 These terms represent the entire agreement between us in relation to equipment hire and supersede any previous representations or agreements.
